We’re looking for an organized, precise person who is comfortable with repetitive, detail-heavy work done consistently and correctly. A person who communicates clearly and promptly, in English, when something is unclear rather than guessing. Motivated by MEDLIFE's mission and interested in building a long-term accounting career.

About the role:
Handle day-to-day transaction entry and basic reconciliation support across MEDLIFE's multi-country accounting operation. This is a hands-on, execution-level role: the person follows established processes precisely, keeps QuickBooks data clean and current, and flags anything unclear to the Staff Accountant rather than deciding how to resolve it.

This role reports directly to MEDLIFE's Staff Accountant, who reviews your work and oversees accounting across all country sites. This role is the reliable foundation that keeps daily records accurate so the Staff Accountant and CFO can close the books, report to leadership, and support MEDLIFE's mission.

What will your day-to-day look like at MEDLIFE?.
Transaction Entry:
  • Enter bills, invoices, expenses, and other day-to-day transactions into QuickBooks Online accurately and on time.
  • Attach receipts, invoices, and supporting documentation to each transaction, following MEDLIFE's documentation standards.

Accounts Payable Support:
  • Process vendor bills following the existing approval matrix — route for approval, do not approve payments yourself.
  • Keep vendor records up to date; flag any request to change vendor banking details to the Staff Accountant rather than updating it directly.

Basic Reconciliation Support:
  • Assist with first-pass bank and credit-card reconciliations under the Staff Accountant's review.
  • Identify and flag discrepancies, duplicate charges, or missing documentation.

QuickBooks Data Hygiene:
  • Apply the correct classes, locations, and coding to every transaction, following the structure already set up in QuickBooks — do not change the chart of accounts or coding rules.
  • Keep records organized and easy to audit.

Administrative & Coordination Support:
  • Support the Staff Accountant with document collection from country teams (receipts, invoices, approvals).
  • Respond to routine data requests from the Staff Accountant and finance team promptly and accurately.

What skills and experience will you bring?:
  • Bachelor's degree in accounting, finance, or related field.
  • 1+ years of accounting experience.
  • Advanced English (written and spoken) — you will regularly communicate with the U.S.-based finance team and review English-language documentation.
  • Basic to intermediate accounting knowledge (technical degree, coursework, or equivalent hands-on experience).
  • Comfortable with Excel (data entry, basic formulas, simple spreadsheets).
  • High attention to detail and consistency; comfortable following documented processes precisely.
  • Able to work independently and remotely, with reliable internet access.

Nice to have:
  • Experience with QuickBooks Online.
  • Prior experience as a bookkeeper, accounting assistant, or auxiliar/asistente contable.
  • Interest in growing into a Staff Accountant or Senior Accountant role over time within MEDLIFE's finance team.
